What's inside
Seven agents (in the order we'd build them)
Onboarding milestone checker
Catches a stalled onboarding by week three.
Trigger: weekly, on customers in their first 90 days. Writes: an onboarding status, the overdue milestones and the one to chase first.
Account health analyst
A health rating with the reason, read from what tickets and calls say.
Trigger: every two weeks, on customers. Writes: Healthy, Watch or At risk, the evidence and one next step. Reads HubSpot's native health score and says when it disagrees.
Stakeholder coverage checker
Finds the accounts one resignation away from churn.
Trigger: monthly, on customers with more than one contact. Writes: a coverage status and who to add or re-engage.
Churn risk flag
A read within the hour on whether a warning sign is real.
Trigger: a ticket burst, a detractor score, a usage drop or a champion's email bouncing. Writes: a severity, the reason and a step for this week.
Renewal prep brief
Ninety days out: what they have, what you promised, and the plan.
Trigger: 90 days before the renewal date. Writes: a brief on the renewal deal with health trend, risks and expansion angles. No pricing.
Expansion signal spotter
Healthy customers showing signs they need more, tied to what you sell.
Trigger: monthly, on healthy accounts only. Writes: the signals with sources, the product they fit and a question to ask.
Business review drafter
A quarterly review draft built from the records. Every number has a source.
Trigger: 14 days before each review, key accounts only. Writes: goals, progress, numbers with sources, open issues and questions for the customer.
How to use it
Three steps
Start with one agent. Add the next once the first is earning its keep.
1. Download it
Grab the two free agents above, or fill in the form for the full set and the PDF guide.
2. Load it into your AI
Add the skill to Claude, or give the guide to the AI you already use along with your company context. It runs the readiness check with you and picks where to start.
3. Build one agent
Configure it in Agent Builder and test it on real records. Keep a person approving the output until eight in ten go through unedited.
Built to be careful
Three rules every agent follows
One job each
An agent that flags, scores and recommends is three agents. Narrow ones cost less and break where you can see it.
Limits in writing
Every set of instructions ends with what the agent must never decide.
Autonomy is earned
Every agent starts supervised. Nothing in this set contacts a customer.
Before you build
Three questions decide whether an agent is worth its credits.
Every build sheet assumes these are true. If they aren't, the agent still runs, and you pay it to tell you what you already suspected.
Definitions
Have you written down what a healthy customer looks like?
Without it, the agent rates accounts against its own guess.
Activity
Are calls, meetings and tickets logged in HubSpot?
An agent can't tell a quiet account from an unlogged one.
Renewals
Does every customer have a renewal date an agent can read?
It's the most common gap we find, and the cheapest to fix.
Two or more no's and the foundation comes first. The guide shows what to fix. If you'd rather not fix it alone, that's the work we do.
